Nanny Taxes Made Simple: What Agencies and Families Need to Know About Legal Pay

Nanny taxes can feel intimidating after a placement, but families do not need to become tax experts to pay legally and stay organized.

In this practical conversation, Alex Yang, founder of NannyKeeper, joined Danny Rosenthal of Enginehire to explain legal pay, filing options, and how agencies can continue supporting families long after a nanny begins.

What We Covered in the Webinar

Making a great nanny placement is only the beginning. Once a caregiver starts, families often ask the same questions: Do we need to pay legally? What do nanny taxes involve? And how do we handle payroll without making a straightforward situation feel overwhelming?

Alex and Danny talked through the practical side of legal pay, including why payroll transparency matters, how families can keep their filing connected to their broader financial picture, and how agencies can guide clients without becoming tax experts themselves.

One especially helpful point was that families do not necessarily need a costly full-service provider to stay organized. With clear pay stubs, tax documents, and step-by-step guidance, they can use a solution like NannyKeeper alongside TurboTax or their CPA while maintaining visibility into their own information.

Nanny Taxes: The Part of Placement Families Often Do Not Expect

Finding the right nanny is a major milestone. Then come the practical questions: Do we need to pay legally? What paperwork is required? How much will this cost? And what happens when tax season arrives?

“Nanny taxes” is the common name for household employment taxes. When a family directs a caregiver’s work in the family home, they may have payroll responsibilities at the federal, state, and sometimes local level.

01

Legal pay protects caregivers

Documented income can support housing applications, loans, Social Security and Medicare credits, and unemployment protections.

02

Requirements vary

Tax thresholds and filing requirements can differ by state, city, and the family’s specific situation. Families can check their own numbers with this free 50-state nanny tax calculator, or read the state-by-state nanny tax guides for the rules where they live.

03

Guidance makes it manageable

Families do not need to master every rule when they have clear instructions and the right documents.

The most helpful thing an agency can do is make legal pay feel achievable, rather than overwhelming.

The Full-Service Payroll Gap

Full-service payroll providers may be the right fit for some families. But Alex highlighted a problem that can surface later: a payroll provider does not always have the full picture of a family’s broader tax situation.

When a provider files on a family’s behalf, the family may have limited visibility into what was filed and how it connects to the rest of their return. If a discrepancy comes up, the family can be left trying to sort it out, sometimes without an easy path to use TurboTax or work with their preferred CPA. Families comparing approaches can also compare the best nanny payroll services.

The real issue is visibility. Families should be able to understand their nanny payroll, see the documents, and use those documents confidently at tax time.

NannyKeeper was built for families who want a simpler, more transparent approach, including those who have been frustrated by an expensive full-service experience in the past.

A Simpler Way to Handle Nanny Payroll and Taxes

NannyKeeper prepares the essential payroll and tax documents while keeping the family in control. Rather than filing behind the scenes through a power of attorney arrangement, it provides clear, downloadable forms and step-by-step guidance.

Families receive direction on how much to pay, where to pay it, and when it is due. They can then use the documentation with TurboTax or share it with their CPA as part of their complete tax picture.

1

Set up the household and caregiver

Families invite their caregiver securely, choose hourly or salary payroll, and can set up direct deposit.

2

Run payroll with clear records

NannyKeeper calculates taxes and creates detailed pay stubs so everyone can understand the numbers.

3

File with confidence

Families receive the forms and deadline guidance they need, including W-2 and Schedule H information for year-end filing.

Starting at $10 per month for one caregiver, NannyKeeper is often 70 to 80 percent less than comparable services. Its self-serve model is what makes that price possible, while still giving families automation, support, and a clear path through compliance.

How White-Label Payroll Keeps Your Agency Top of Mind

Placement is naturally high touch. Agencies guide a family through the search, interviews, offer, and onboarding. Once the caregiver begins, though, the relationship can become quieter.

NannyKeeper helps agencies extend that relationship through co-branded and white-label options. Co-branded nanny contracts are available to any agency today: your logo goes on the contract and on the signed PDF alongside NannyKeeper’s. Deeper white-labeling, including branded dashboards and pay stubs, is something NannyKeeper builds case by case with partner agencies. Agencies interested in that can reach Alex directly at hello@nannykeeper.com.

A

Co-branded contracts

Your logo appears on the nanny contract and the signed PDF, at the moment the working relationship is being set up.

B

More ongoing value

Payroll happens weekly or biweekly, giving your agency a practical reason to remain part of the client experience.

C

A stickier placement relationship

When families need help again, your agency is still familiar, visible, and connected to their day-to-day experience.

Frequently Asked Questions About Nanny Taxes

Do families have to pay nanny taxes?

In most cases, yes, once the pay crosses a threshold. For the 2026 tax year, a family that pays a household employee $3,000 or more in cash wages during the year owes Social Security and Medicare taxes on those wages, at 6.2% and 1.45% from the employer and the same again from the employee. Federal unemployment tax is separate and starts once a family pays $1,000 or more in total cash wages to household employees in any single calendar quarter. State thresholds vary and several are lower than the federal ones. The IRS covers the full rules in Publication 926, the Household Employer’s Tax Guide.

Can families use TurboTax for nanny taxes?

Yes. With the right payroll documents, including W-2 and Schedule H information, many families can incorporate household employment taxes into their broader return through TurboTax or with help from a CPA.

Why should an agency recommend a nanny payroll solution?

It helps families move from placement into employment with more confidence, supports legal pay for caregivers, and gives the agency a practical way to provide ongoing value.
