What are the main benefits?
Fundamentally, you will get all of your existing back-up care revenue, without spending any time on it! In most cases, you should also see an increase in back-up care revenue by filling more cases than you were previously (including hard to fill ones that come last minute or at odd hours). You also won’t have to worry about handling cancellations or creating billing reports.
How much does it cost?
For the back-up care assistant it is $250 per month for the first portal and $125 per month for any additional portals, and $0.0145 (1.45 cents per text message segment, if used). No set up fees, no long terms contracts, you can try it and cancel any time if you are not happy!
What if I don't have the volume to justify the cost?
You should talk to Bright Horizons! Chances are you are only filling a small percentage of the total jobs they are sending you. If you fill an extra 3-4 jobs in a month you should cover the cost. We generally suggest trying it for one month, you’ll see the impact right away, and if you don’t you can cancel any time!
Does the automation run 24/7?
Yes! The automation never sleeps, and will try to fill every available opportunity for you, even if it comes in the middle of the night or the weekend!
What if we can't fill every shift that is picked up?
No problem! You are not expected to fill every shift that is picked up, and there is no penalty or downside to not filling a shift. The idea is that by picking up shifts quickly and presenting them immediately to your caregivers you will fill more shifts than you would have otherwise.
What scheduling systems can you connect/integrate with?
We can connect with any scheduling system! Some of the common ones are WellSky, AxisCare and Kantime, but we can work with any existing scheduling system you are using.
Do you create a new client for each shift?
We can either create a new client in your scheduling system, or put everything under a single “Bright Horizons” client, whatever you prefer.
What if multiple companies are using this, how do you decide who gets the booking first?
Enginehire does not make any decisions about who gets which booking in which order, we are simply running the same automation system for anyone who wants to use it; the same technology, the same speed. Bright Horizons does make some decisions about the order in which jobs appear in the portal, you can ask them about this and about becoming a “preferred provider”. We only have access to the information once it becomes available in your portal, and as soon as it does become available our system will try to fill it for you as quickly as possible. We treat every agency entirely independently, so if a job appears in your Bright Horizons portal, we will only match it with your caregivers, there is absolutely zero crossover between agencies.
One way to increase your likelihood of getting a job first is to “auto book” your caregivers, rather than sending them a text message to confirm (please read “what is the difference between auto broadcast and auto book” below). The best way to increase your likelihood of getting jobs is to have more caregivers with more availability!
You may be wondering, what happens if 2 agencies get the same job at the same time in their Bright Horizons portal and they are both using the automation with a caregiver with availability to auto book? At this point, the result is somewhat random/up to chance. The automation runs in a continuous loop for each agency, so depending on precisely when the job appears in the portal each automation may be in a different point in the loop, so one may pick up the job slightly before the other. This cannot be controlled or predicted, but should even out over time.
What is the difference between auto broadcast and auto book?
Auto broadcast means matching caregivers receive a SMS text message whenever a new job appears, and they can click to accept it and get staffed. Auto book means the system will check the caregiver’s availability, location and preferences and if it is a match it will instantly staff them on the job! The advantage of auto book is it is faster and increases the likelihood of your agency getting the case before anyone else, but it requires the caregiver to keep their availability up to date. You can mix and match this by only turning on auto book for the reliable caregivers who want it on it!
What do you need from us to set this up?
We just need a login to your Bright Horizons provider portal, and a login to your scheduling system (you can provide an existing login, or make a new one with limited permissions).
Is this secure?
We take security very seriously. Enginehire maintains SOC 2 Type II, ISO 27001, HIPAA and GDPR certifications, and have gone through security vetting by Bright Horizons. We also don’t need your sensitive caregiver documents or client data to operate, we just need to be able to create jobs for you.
How long does this take to set up?
This can be up and running in less than 48 hours, all we need is Bright Horizons provider portal access and scheduling system access and we take care of the rest. Sometimes it is a good idea to do a slower rollout though, to give your scheduling team time to adjust, and we often recommend launching with a couple of trusted caregivers, make sure everything is running smoothly for them and you understand how it works, and then roll it out to all caregivers.
